CRM & Customer Follow-up

Every Inquiry Tracked. Nothing Falls Through The Cracks.

Platinum Web Studio builds CRM and inquiry-tracking systems for Los Angeles contractors so every call, form, and text is logged, assigned, and followed up, typically set up in 2 to 3 weeks. A plumber who quotes a repipe on Monday and never follows up has paid for that inquiry and lost it anyway; the CRM puts the reminder in front of your team and shows you, every month, which channel sent each booked job.

Why CRM And Customer Follow-up Matter For Contractors

Most contractors do not have a problem getting calls and form requests; they have a follow-up problem. Inquiries arrive from a website form, a missed call, a Google listing message, an ad, and a neighbor's referral, and without one system pulling them together, some are never answered and many estimates are never chased.

A properly configured CRM gives every inquiry a home, a stage, and a next action. Pair it with our AI automation and phone answering service and the first response happens in seconds while the CRM keeps the record of everything after it.

What's Included In CRM And Customer Follow-up

Centralized Inquiry Inbox

Calls, website forms, ad inquiries, and texts all land in one inbox instead of three phones and a notebook.

Source Tagging

Each inquiry is tagged the moment it arrives with where it came from (Google listing, ad, referral, Instagram) and the service they asked about.

Follow-Up Reminders

An estimate sent on Monday with no reply creates a reminder for your team, so quotes do not quietly expire in someone's sent folder.

Pipeline Stages That Match Your Jobs

Stages such as new inquiry, estimate scheduled, estimate sent, won, and lost show where every job stands without digging through texts.

Team Visibility

The office, the estimator, and the owner see the same record, so a customer who calls back does not have to repeat the story.

Monthly Channel Report

A monthly report shows calls, forms, and booked jobs by channel, so you can see which marketing is producing work and which is not.

A CRM Built Around How You Actually Sell

A roofing company that sends three estimates before a job closes needs different pipeline stages from a drain cleaning company that books on the first call. We build the stages, tags, and reminders around how your team actually quotes and books, and the reporting shows the numbers you use to run the business: booked jobs, close rate, and time to close by channel.

If you are deciding whether to hire a dispatcher or automate the first steps, our breakdown of AI call routing versus a full-time dispatcher compares the two. For one team running the website, Google listing, AI phone answering, and follow-up together, see our Trades Website & Booking System.

CRM Pipeline Stages, Inquiry Fields, And Reports

The default pipeline has five stages: New Inquiry, Estimate Scheduled, Estimate Sent, Won, and Lost. Stages are added or merged to match how your team quotes, for example a Second Estimate stage for trades that bid more than once. Every inquiry record captures the same fields: name, phone, email, job address or city, the service requested, the inquiry source (Google listing, ad, referral, website form, Instagram, or a phone call), the date and time it arrived, the team member it is assigned to, its current stage, the next follow-up date, and notes from each call.

Reporting comes from those fields. The monthly channel report shows calls, form requests, and booked jobs by source; the pipeline report shows conversion rate by source, close rate, and average time to close; and a follow-up list shows every estimate with no reply and no next step, so it can be chased that week.

CRM Integrations We Connect

We work with the tools on our integrations list: HubSpot, Zoho, or Airtable as the record of every inquiry; n8n or Zapier workflows to carry website form, Google Ads, and Meta Ads inquiries into the CRM with their source attached; RingCentral for call logging; Calendly so a booked estimate creates the Estimate Scheduled stage on its own; Slack for new-inquiry alerts to the office; and Google Analytics to match website visits to the inquiries they produced. If your team already runs a different CRM, we connect the same sources to it instead of forcing a switch.

Our CRM Setup Process

01

Map Your Inquiries

We list every way an inquiry reaches you today (website, Google listing, ads, phone, texts, referrals) and how each one is tracked, if at all.

02

Build The System

We configure your CRM, or recommend and migrate you to one that fits, with pipeline stages, tags, and reminders that match how you quote and book jobs.

03

Connect Every Source

Website forms, ad platforms, your phone system, and your calendar are wired into the CRM so no inquiry enters through an untracked door.

04

Launch & Refine

We walk your team through it, watch how inquiries move for the first weeks, and adjust stages and reminders where work gets stuck.

CRM And Customer Follow-up FAQ

Platinum Web Studio usually recommends keeping the CRM a contractor already uses and configuring it properly, and only suggests a switch when that system cannot handle pipelines, automations, and call logging. If a switch is needed, we choose a better fit with you and migrate your existing customer data.

CRM setup for a small Los Angeles service business is a one-time project scoped and quoted on a free call, followed by month-to-month support if you want us to keep adjusting the system. The goal is to recover inquiries you are already paying for and losing to slow follow-up.

CRM and customer follow-up setup typically takes about 2 to 3 weeks from the first mapping session to launch, depending on how many inquiry sources need connecting and whether data has to be migrated from an old system. Your team keeps working normally while we build.

Yes, every inquiry in the CRM carries its source, such as your Google listing, an ad, a referral, or Instagram, so Platinum Web Studio's monthly report shows calls, forms, and booked jobs by channel. That tells you which marketing spend is producing work and which is not.

Getting inquiries and converting them are two separate problems, and many businesses lose inquiries they already paid for because follow-up is slow, inconsistent, or forgotten when the week gets busy. A CRM gives every inquiry a stage and a next step, so fewer of them go cold.

You do not need to switch CRM platforms in most cases, because we usually build proper pipelines, automations, and tracking on top of the system your team already knows. If your current setup genuinely cannot support what your business needs, we recommend a better fit and handle the migration so historical customer data is kept.

CRM and customer follow-up is the system of record that tracks every inquiry's stage, history, and follow-up, while AI automation handles the first response the moment a prospect calls or submits a form. The two work together: the AI answers and books, and the CRM keeps the record.

Yes, once inquiries move through a tracked pipeline we can report conversion rate by source, average time to close, and which channels produce paying customers rather than just raw inquiry volume. That lets you move budget toward the marketing that brings in actual jobs.
